Client Onboarding

First impressions matter. A smooth onboarding experience builds trust and reduces "buyer's remorse". This workflow ensures that every new client is set up correctly in Yuktis and understands how to work with you.

Workflow Stages

1. Contract Signed

Role: Sales / Account Manager

  • Trigger: Contract is signed in DocuSign/HelloSign.
  • Action: Create a "Client Onboarding" task in the Internal Admin project.
  • Details: Attach the signed contract PDF to the Assets tab.

2. Portal Setup

Role: Admin

  • Action: Go to Clients > Add Client in Yuktis.
  • Configuration:
    • Upload the Client's Logo (Transparent PNG).
    • Set their primary industry (e.g., "Food & Bev").
    • Add links to their social profiles (Instagram, LinkedIn).

3. Invite Users

Role: Admin

  • Action: Invite the primary Point of Contact (POC).
  • Email: Use the "Invite User" button in the Client Dashboard.
  • Note: The client will receive an email to set their password.

4. Asset Collection

Role: Account Manager

  • Action: Create a task assigned to the Client: "Please Upload Brand Assets".
  • Description: Ask for Logo vectors, Brand Guidelines PDF, and Fonts.
  • Status: Move to Client Action Required.

5. Kickoff Call

Role: Account Manager

  • Action: Schedule the Zoom call.
  • Agenda:
    • Walk them through the Yuktis Portal.
    • Show them how to approve content.
    • Agree on the first month's content calendar.

6. Handover

Role: Account Manager

  • Action: Introduce the client to their dedicated Social Media Manager or Project Manager.
  • Completion: Mark Onboarding task as Done.

Best Practices

  • Welcome Email: Send a personal email before the automated system invite, so they know what to expect.
  • Video Loom: Record a 2-minute Loom video walking them through their specific dashboard. Paste the link in the "Welcome" task.
